2. Visiting the website
When you open a page, technically necessary connection data is transmitted to the hosting service. This includes your IP address, the time and requested address, and information supplied by your browser, such as its identifier and, where provided, the referring page. The server also processes status and error data. We use this processing to deliver the website, maintain secure operation and investigate faults or misuse. The legal basis is Article 6(1)(f) GDPR: our legitimate interest in a secure, functioning website. Without the necessary connection data, the page cannot be delivered.
3. Hosting, email service and recipients
We use Spaceship hosting and Spacemail from Spaceship, Inc., 4600 East Washington Street, Suite 300, Phoenix, AZ 85034, USA. These service providers and their subprocessors process the data needed to provide and operate the services. Within our business, access is limited to people handling the matter. Telephone providers process connection data to enable communication. We disclose data to authorities or advisers subject to professional confidentiality only where a legal obligation or the handling or defence of legal claims requires it.
4. Processing outside the EU / EEA
Spaceship provides for US processing. Its DPA contains EU standard contractual clauses for relevant international transfers. The safeguards are available here.
The provider’s terms incorporate the DPA into hosting and Spacemail services. Contact us for information about the safeguards applicable to your data. Exclusively European processing is not guaranteed.
5. Email and telephone
When you contact us, we process your contact details, enquiry content, any property details and preferred dates you provide, and associated communication data. We use them to reply, prepare quotations and coordinate arrangements. Article 6(1)(b) GDPR applies to enquiries relating to your contract. Other enquiries, including those from a business’s contact persons, are handled under Article 6(1)(f) GDPR based on our interest in appropriate communication. We meet statutory retention duties under Article 6(1)(c) GDPR.
Contacting us is voluntary. Without suitable contact details and information, we cannot answer your enquiry or prepare an appropriate quotation. Please do not send access codes, health information or other confidential information unnecessary for your enquiry. Please agree a suitable transmission method with us first for particularly confidential material. Ordinary email is not automatically end-to-end encrypted.
6. Website features
The website currently has no contact form. We use no analytics or advertising trackers and embed no external maps or videos. Our website scripts set no cookies. The planning calculators process your inputs in the open browser and do not transmit them to us. Language changes use page links. Links to external websites load their content only when you follow the link; the respective provider’s notice then applies.
7. Retention
Connection and security data is needed only for as long as delivery, fault analysis and the handling of specific security incidents require it. For enquiries, retention depends on completing the enquiry, any subsequent contract and necessary records. Data subject to statutory retention duties remains stored until the applicable periods expire; legal disputes can justify further necessary retention. We then delete the data. Backup copies are cleared through their scheduled renewal and deletion cycle. The determining factors are purpose, legal duties and specific security needs, rather than one blanket period for all data.
8. Your rights
Subject to the statutory conditions, you have rights of access (Article 15 GDPR), rectification (Article 16), erasure (Article 17), restriction (Article 18) and portability (Article 20, for automated processing based on a contract or consent). Where processing is based on your consent, you may withdraw it at any time for the future, without affecting the lawfulness of prior processing.
Objection: You may object at any time to processing under Article 6(1)(f) GDPR on grounds relating to your particular situation (Article 21). We will then stop processing unless we demonstrate compelling legitimate grounds overriding your interests and rights, or need the processing for legal claims. You may object to direct marketing at any time without giving a reason.
You may also lodge a complaint with a supervisory authority (Article 77 GDPR), particularly where you live or work or where the suspected infringement occurred. For this website and the enquiries described, we make no solely automated decisions producing legal or similarly significant effects and create no corresponding profiles.
